Quotes are sent to customers to provide them with a brief overview of the service and its associated costs before they commit to a specific service.
How to create a Quote
Step 1: Access the Quote section
- To access the Quote section, navigate to Operation →Quotes → Open Quotes.
Step 2: Create a new quote
- Click on the 'New Quote' button at the top right corner of the page.
Step 3: Fill out the quote information
- Add the contact where you want to send the quote
- Add the job type, add or remove tasks, and add the quote notes.
- Check the quotation -- add or remove items.
- Review quote product list. Click on the Add item if you wish to add more items in the quote. Click on the 'Delete' icon to remove a product/item.
- You can also add a custom item not predefined in the product section by clicking on the 'Add Custom' button after clicking 'Add item'.
You can add 'Custom' products/items if you don't have Lightspeed integration.
Step 4: Save/Preview and send the quote.
- At the top right corner of the quote page, you can find the 'Action' button where you will find the option to Save the quote or preview and send it.
- The 'Save' button functions by saving the quote as a draft, after you are redirected back to the 'Open Quotes' list. The status of the quote should then display as 'DRAFT'.
- The 'Preview & send' - This button enables you to preview and edit the email subject and message for the customer. Once you are ready, click the 'Send quote' button to dispatch the quote.
- The 'Preview' button at the bottom provides you an option to preview the email message and the quote PDF.
- After clicking the 'Send quote' button, you are redirected to the 'Open Quotes' list. The status of the quote should then display as 'SENT'.
You have the option to establish a default 'Subject line' and 'email message' within the SETUP →Quotes → Email sections.
