Contacts - Creating and Updating a Contact.

There are two ways you can add or update a contact: Manual or through bulk import. In this article, we will outline the steps on how you can create and update a contact. We will also delve into other information that can be captured when creating a new contact. 




Adding a new contact 


There are several avenues where you can create a new contact: 


1. Quicklinks on the Overview page. 




2. Using the global Add New icon located at the top-right corner of the page. 




3. Through the Contacts list page. Click on the New Contact button to begin adding a new contact. 





4. Using the Import option where you can bulk import several contacts at a time. 







Contact details 


In adding a new contact, fill out the contact details for the pool owner (Individual) or liaison (Company). Adding a mobile phone number will allow you to provide your customer with their water test results, booking reminders and other communications via SMS - multiple phone numbers can be added for contact and labels can be set for easier identification.




  1. Create a new pool toggle switch - You may enable this if you want to create a pool in the same address as the contact.

  2. Contact type - Select from Individual or Company.

  3. Category - You can select a category for your contact. Learn more about contact categories here > > > Contact categories

  4. Territory - Add a territory where this contact belongs to. Learn more about contact territories here > > > Contact territories
  5. Location - This will be set to the default location of the user currently logged in. For example, if Admin A is assigned to Location A, then the default location that would appear here is Location A.

  6. Name of the contact - The first and last names are mandatory. If creating a contact for a company, a field where you can enter the company name will appear. However, you would still have to nominate an individual to serve as the contact.

  7. Phone number - Click on the (+) icon to add a phone number to the entry. You can add as many phone numbers as you'd like.

  8. Email Address and CC: emails - This is where you would need to add the email address and a CC email if applicable. The email address that will be indicated in this field is where the quotes, invoices, job sheets, and tests will be sent by default.

  9. Address field - You can enter the address manually or use the Address search feature to automatically fill the fields - this is recommended as it ensures more accurate geolocation data. The data you put into the address field will be the same address which will be used to create the pool details if you enable the switch in figure A upon contact creation.

  10. Trading term - Contacts will be assigned the default trading term as defined in Setup → My Business → Trading terms - other traiding terms can be created if you have contacts with different payment arrangements.

  11. Comms preference - You have two options for your communications or 'Comms' preference. We recommend email – it’s quick, traceable and paper free! But if your contact prefers a hard copy, selecting 'do not send' will allow you to print the invoice out.

  12. Water test reminder preference - You can specify whether your contact will receive water test reminders via email or SMS or both. Water test reminder communication preferences can be configured in Setup → Lab → Notifications.

  13. Batch Invoices - Toggle this switch if you have an arrangement with the contact that they will be invoiced in batch. Learn More about batch invoicing here: Batch Invoices

  14. Contact notes and Tags - These remain internal and are viewable by the tech within the mobile app - useful for noting any customer preferences such as whether they like to be called on approach. Tags can be added to the contact to help you categorise and filter your customer records. Learn more about setting up tags for contacts here: [insert link to tags setup KB]

  15. Create Pool/Link an existing pool - Use the search field to link your new contact to a pool that already exists in your system. Otherwise click the Create pool and complete the pool details form, entering the address, volume, surface and sanitiser at a minimum.

    Note: You will need to set the Volume, Surface and Sanitiser before you can save the pool. If you don’t know this data - enter the most common pool specs in these fields (volume: 40000L - Surface: Pebblecrete - Sanitiser: Salt 4000) and make a note in the pool notes section to ensure your tech updates this information when they service the pool.

  16. Create button - Click this button to Save the details. 



Contact details


When accessing details of a contact you will also see tabs across the top of the screen providing access to other areas relating to the contact's activity in the system.




  1. Details - This is where you can see the contact details.

  2. Jobs - On this tab, you will see all the jobs (both past and active) and their status.

  3. Quotes - Quotes sent to this contact including their status.

  4. Invoices - Shows the list of all invoices for the contact and their details and status
  5. Logs - Any changes done to the contact will be shown here. It will contain the event (created, updated, synced, etc.), the user who made the changes and the timestamp as to when the changes were made.




  1. Within the contact details section, you can manage the pools and spas linked to the contact.

  2. The searchable notes section in the right-hand sidebar allows notes and attachments to be added to the contact.
     
  3. You can use the data management section to export the contact's details in CSV format or to permanently delete the contact from your records.
