How to set up Real Estate contacts

This page outlines the steps on how to set up Real Estate contacts and link them to multiple pools. 

we DO NOT recommend creating new contacts per pool as this may cause confusion and irregularities in the data and invoicing. 



Create a Real Estate Contact






1. You can create a new contact by navigating to Operations → Contacts and by clicking on the New Contact button at the top-right corner of the page. 




This can also be done through the Quick Links section by clicking on the (+) or Add new icon found at the very top right portion of every page. 





2.  In the Contact details page, select 'Company' as the contact type and add the company/agency name. 

3. If applicable, add the contact's Category, Territory, and Location. These custom fields are used to segment and filter the contacts. The guide to setting up these custom fields can be found here: CategoryTerritoryand Location.





4. Fill out the needed information. The fields with (*) are mandatory. We recommend that you use the address search function instead of entering the address manually. 



5. Select the communications preference for the contact and how they want to receive water test reminders (if applicable) 



6.  Toggle the Batch invoices switch if this agency/company opted to receive a single invoice for multiple jobs. 



Linking the contact to a pool 



If the pools where this agency contact should be linked already exist in the system, you can link them to this contact. To do this, follow the steps below: 






1. Type a part of the pool address or the pool name and it will automatically return possible matches. 



2. Change 'Relationship to Pool' to 'Agency/Strata'. 



3. If you want to link more pools, you can repeat the prior steps above. 







If the pool you want to link to the agency is non-existent in your Pooltrackr system, you can click on the Create a Pool option and you would have to enter the pool details. You may refer to the steps outlined in the Pools - Create/Update a pool guide to learn more about how to create a new pool.
