Jobs - Edit a Job in Calendar or List View.

There are two areas for editing existing jobs: the 'Calendar view' and the 'List view'.


You can have the flexibility to modify a contact associated with a job, reassign the job to a different technician, alter a job type, add/edit/remove job tasks, include/modify/delete job notes, add or remove job tags and coloured labels, and manage SMS notifications. You can also add or remove products from the 'Invoice' section.



Note: It's crucial to note that any changes made in the 'Calendar view' will only apply to the selected job for that day, not to the entire recurring series. Edit a Job in Calendar or List View




  • Navigate to the 'Operations' → 'Jobs' → Select 'Calendar'/'List view'

  • Locate the job you would like to modify.

  • Click the job to open the edit job.

Change Contact



If multiple contacts are associated with the pool, you can change the billing contact for the job.

  • Click the 'Contact' drop-box, then select the alternative contact from the drop-down selection.

  • Click the 'Actions' button at the top right-hand side of the page and select Save to update the job.

Change Technician




  • Click the 'Technician' drop-box, then select another technician from the drop-down menu.

  • Click the 'Actions' button at the top right-hand side of the page and select Save to update the job.




Change Job Type



  • Click the 'Change' button on the right-hand side of the job type box.

  • You can select the alternative job type from the drop-down box or search for/select it by typing the name of the job type.

  • Click the 'Actions' button at the top right-hand side of the page and select Save to update the job.

Add, Edit or Remove Job Tasks



Add job task




  • Click the '+ Add task' icon.

  • Add the relevant text and press enter. 

  • Click the 'Save' button to the right of the job task.

  • Click the 'Actions' button at the top right-hand side of the page and select 'Save' to update the job.

Edit a job task


  • Click the task you wish to edit.

  • Change the text.

  • Click update to the right of the task to update.

  • Click the 'Actions' button at the top right-hand side of the page and select 'Save' to update the job.

Remove/delete  job task.



  • Click the trashcan icon to the right of the job task.

  • Click the Actions button at the upper right-hand side of the page and select Save to update the job.



Change job task order.




  • Click and hold the job task you wish to move.

  • Move the job task up or down to the desired position in the list.

  • To update the job, click the 'Actions' button at the upper right-hand side of the page and select 'Save'.



Add, Edit or Remove Job Notes



Add, edit or remove  PO Number.



  • Click on the 'PO number' text box.

  • Add, edit or remove text.

  • Click the 'Actions' button at the top right-hand side of the page and select 'Save' to update the job.

Add or remove job tags.




  • Click the 'Enter tags' input field and select an existing job tag from the drop-down box.

                    Or

  • Create a new tag by entering the required text and hitting enter on the keyboard.

  • To remove/delete existing tags, click the X to the right of the existing tag.

  • Click the 'Actions' button at the top right-hand side of the page and select 'Save' to update the job.




Add, edit or Remove job notes.



  • Click into the 'Job notes' text area.

  • Remove or add text.

  • Click the 'Actions' tab at the top right-hand side of the page and select 'Save' to update the job.



Add or remove colour labels.




  • Click into the 'Colour label' drop box.

  • Select an existing colour label from the drop-down selections.




                Or



  • Click the '+ Add new' icon to create a new colour label.

  • Select the desired colour of the tag.

  • Add text/name to the 'Label'.

  • Click the 'Save' button to add the label to the job.

  • To remove/delete existing labels, click the 'X'  icon to the right of the existing label.

  • Click the 'Actions' tab at the top right-hand side of the page and select 'Save' to update the job.


Add or Remove Products from the Invoice




  • Click the '+ Add item' icon.

  • Start typing to search for the existing product.

  • To remove an existing product, click the 'Delete' icon to remove the product from the job.

  • Click the 'Actions' tab at the top right-hand side of the page and select 'Save' to update the job.

SMS Notification



You can turn off or activate SMS notifications for booking reminders, booking changes or job completion.

If you do not have an SMS notification configured, click CONFIGURE, and you will be navigated to the configuration section.


Once SMS Notifications are configured, you can edit the job and add the type of notification you want to send related to the job. 



  1. This is the field where you can enter how many hours before the scheduled time the notification will be sent to the customer/recipient.

  2. Click this option if your customer has multiple phone numbers and they have a preferred number where they want to receive the notification.

  3. This is where you can customise the notification message.



  • Select which SMS notification you want to use for the job.

  • If required, change the hours before the scheduled job SMS reminder is sent.

  • Click Edit recipients to choose or change which contact linked to the pool the SMS notification is sent to.

  • Click into the message content if you wish to customise the SMS for that job or customer.

  • To turn off an existing notification, simply click the relative tab.

  • Click the Actions tab at the top right-hand side of the page and select Save to update the job.

Summary




Summary displays the contact, pool and job info, you can also view or edit contact and pool info.

  • Click the pencil icon within the Contact portion to view or edit contact info.

  • Click the pencil icon within the Pool field to view or edit Pool info.



Notes


Notes are used for internal communication purposes, when a note is added it is created as a log, you can also add attachments.

  • Click Add a note to create a new note.

  • Add the required text to the Enter Notes area.

  • Click Add Attachment if you wish to add an attachment.

  • Click Save.

  • Click Search Notes to search for a particular note/log.

  • Click the Actions tab at the top right-hand side of the page and select Save to update the job.
